FELLOWSHIP Proposal Development Timeline
TIME IS CRITICAL. The level of proposal development service we can provide depends on when you begin to work with us.
If you begin working with us to craft your fellowship proposal AT LEAST 4 WEEKS before the deadline we can:
- Help you analyze and interpret instructions
- Consult with you on how to best present the required proposal elements
- Review/edit several drafts of the text as needed
- Provide standard KU information if needed
- Assist you with the budget, if one is required
- Prepare agency application forms
- Obtain institutional review and approval, if required
- Assemble the proposal, make copies, express mail, and track; or upload online
- Provide initial and a final review/edit

Proposal Development Work Flow
STEP 1: Develop Original Idea
You
- Review the literature
- Write a brief synopsis describing your idea, project and funding needs
- Contact The Humanities Grant Development Office (HGDO) for an appointment to discuss the project and your funding needs (kporsch@ku.edu or 4-7834)
- Email or fax (4-7898) the project synopsis and current CV to HGDO in advance of the meeting
- Interviews you regarding your project and funding needs
- Identifies potential sources of funding and sends the information to you
- Assists you in planning your application strategy and proposal development timeline
- Helps to identify KU faculty with similar interests, if you are interested in collaboration

- Review potential funding sources and determine which are the best match for your project and your funding needs
- If a budget is required, prepare a brief, informal budget estimate with a justification
- Contact program officers with any questions
- Consults with you regarding the budget, if needed, your approach to writing the project description, the information required on application forms and any supporting documents
- In the case of institutional applications, serves as your liaison with the University of Kansas Center for Research (KUCR) or the Kansas University Endowment Association (KUEA), as appropriate
- Alerts KUCR (or KUEA, as appropriate) that you are preparing the proposal, requests a proposal reviewer be assigned and schedules any necessary approvals
- Alerts you to the internal deadline for all materials to be completed and submitted to KUCR (normally one week prior to the agency deadline)
You
- Prepare a complete draft of your proposal and ask your colleagues to review and critique it
- Revise budget and budget justification as necessary to ensure it is consistent with your project description
- Provide HGDO with information required to fill out agency forms
- Complete and submit separate applications to institutional committees at KUCR (Human Subjects form if you are doing interviews or surveys) if appropriate
- Request letters of support or reference, as required
- Reviews proposal (staff or Humanities Proposal Bureau, depending on timeframe and your preference)
- Works with you to maintain consistency between the budget/justification and proposal description
- Fills out agency forms, sends them to you for your review and approval, and prompts you for any missing information

- Make revisions on final draft of formal proposal
- Obtain approval from appropriate institutional committee (human subjects), if appropriate
- Sign completed forms as appropriate
- Remain in contact in case of any last-minute problems prior to submission deadline
- Reviews final proposal for compliance with granting agency and KU guidelines
- Submits proposal to KUCR or KUEA for institutional review and signature, if required and as appropriate (if an institutional application)
- Duplicates proposal (if paper submission) or uploads proposal (if electronic submission)
- Transmits proposal to granting agency (via express mail if paper)
- Tracks delivery of application and informs you of its arrival
You
- Inform HGDO when the results of the application are announced
- If awarded a fellowship requiring Supplemental Salary Funding (SSF)* support, fill out the SSF form, obtain the required signatures, and return to the HGDO grant development officer for submission to the College
- If not funded, request peer review comments, if the agency allows
- Work with HGDO to revise and resubmit as appropriate
- If your project is funded, fills out award forms and express mails forms and your letter of acceptance and thanks to the sponsor
- Consults with you about post-award administration, provides Supplemental Salary Fund (SSF)* forms and guides you through the SSF* procedures, if you are eligible
- In the case of institutional applications, provides appropriate materials to Hall Center, College of Liberal Arts and Science, and KUCR Administrative Offices, which work together to establish your grant account
- If your project is not funded, assists in you in interpreting reviewer's comments (if the agency provides them) and using them as constructive criticism to develop a stronger resubmission
*The College offers SSF to its faculty who win fellowship awards totaling 50% of their regular academic year salaries. College faculty can apply for SSF to make up the difference between their fellowship stipends and their full salary/fringe benefits.
